Who we are
The Third Saturday Society (TTSS) runs a monthly, invitation-only conversation in Accra. We are the “data controller” for the personal information in this notice. That means we decide why and how it is used.
TTSS is being set up as a company limited by guarantee in Ghana. Once it is registered, this notice will carry its full legal name.
This notice covers our website, event requests on Luma, our emails and WhatsApp messages, the preparation form for guests, and our events.
What we collect, and why
We only collect what we need, and we only use it for the reasons below.
Request a seat on Luma — What we collect: Your name, email, phone number, Instagram handle (optional), your answers about your field and what you’re still figuring out, and your consent choices. Why we use it: To decide who joins each Moment and to contact you about it. Our basis: Your request and consent.
Are approved for a Moment — What we collect: The first name you want shown, your field, one line about what you’re figuring out, a photo you choose to send (optional), how to say your name (optional). Why we use it: To make your slide, seat you and welcome you properly. Our basis: Your consent.
Tell us about food or access needs — What we collect: Dietary needs, allergies or access needs (optional). Why we use it: To look after you on the day. Our basis: Your explicit consent.
Come to a Moment — What we collect: That you attended, and the ideas shared in the room, written as themes without names. Why we use it: To run the Moment and learn from it. Our basis: Your participation and consent.
Are photographed — What we collect: Photos taken at the event, only if you agreed. Why we use it: For our archive, website and social media. Our basis: Your consent.
Give feedback — What we collect: Your rating and comments. Why we use it: To improve future Moments. Our basis: Your consent.
Join our list — What we collect: Your email address and name. Why we use it: To tell you about future Moments. Our basis: Your consent. You can unsubscribe at any time.
Visit our website or message us — What we collect: The pages you visit and how you found us, measured with Google Analytics and the Meta Pixel if you agree, and anything you send us. Why we use it: To understand how people find us, measure our ads and reply to you. Our basis: Your consent for cookies, and our legitimate interest in replying to you.
Information about health, such as allergies, gets extra care. We ask for it only with your explicit consent, only the hosts see it, and we use it only to look after you.
Photos, recordings and the archive
We do not record audio or video of the conversation unless every guest has agreed in writing beforehand.
We take photos only of guests who ticked the photo box when they registered. Our photographer is given a list of guests who did not. Photos may appear in our archive, on our website and on our social media.
Our archive notes record ideas and themes, never who said what. We follow the Chatham House Rule: you may use what you hear in the room, but you may not share who said it. We will never quote you by name without asking you first and showing you the exact words.
If we show a slide with your first name, field and one line during a Moment, we do it only with your agreement. We do not share the slides afterwards, and we delete them after the Moment within 7 days unless you ask us to keep yours.
If you change your mind about a photo, tell us. We will remove it from our own channels and stop using it. We cannot recall copies that other people have already saved or shared.
Who we share your information with
We never sell your information.
We use a few services to run TTSS. They handle your information for us, under their own terms and privacy policies:
Luma, for event requests, approvals and event emails
WhatsApp, for messages to guests
An online form service, for the preparation form
Framer, which hosts our website, and Google Analytics, which measures visits to it
Instagram and Meta, for our social media and ads, and the Meta Pixel on our website
We share only what each service needs to do its job.
Within TTSS, only members of our team who need it can see your registration details. Anyone who helps us agrees to keep it confidential. We never share your contact details with other guests.
We do not share your information with our venue, BURO., and we do not upload your contact details to Meta or any other advertiser. We will disclose information if the law requires us to.
Transfers outside Ghana
Some of the services we use, including Luma, Google and Meta, keep information on servers outside Ghana. We choose providers that protect information with security measures, and we share the minimum needed. By requesting a seat or using our services, you understand that your information may be handled in this way.
How long we keep it
We keep information only as long as we need it.
Requests that were not approved: 6 months, then deleted. If you joined the list for the next Moment, we keep your email until you unsubscribe.
Registration details of guests who attend: 24 months after the last Moment you attend.
On-screen slides: Deleted within 7 days after the Moment, unless you ask us to keep yours.
Food and access needs: Deleted within 7 days after the Moment.
Photos in our archive: Until you ask us to remove them.
Feedback comments: Kept without names for 24 months.
Our mailing list: Until you unsubscribe.
If you ask us to delete your information sooner, we will.
Your rights
Under Ghana’s Data Protection Act, 2012 (Act 843), you can:
Ask for a copy of the information we hold about you
Correct or delete information that is wrong, out of date or no longer needed
Withdraw your consent at any time. This does not affect what we did before you withdrew it
Stop our messages. Tell us if you don’t want to hear from us about future Moments, and we will stop
Ask us to stop using your information in a way that is causing you harm
Complain to the Data Protection Commission if you think we have not treated your information properly
To use any of these rights, email questions@thirdsaturday.co. We will reply within 14 days.
Keeping your information safe
We take reasonable steps to protect your information. Only the people who need it can see it. We keep it in protected accounts, use strong passwords and two-step sign-in where we can, and delete guest lists and exports when we no longer need them.
If something goes wrong that puts your information at risk, we will tell you and the Data Protection Commission as soon as we reasonably can.
Cookies and website analytics
Our website is built with Framer. We use Google Analytics to understand how people use the site, and the Meta Pixel to measure our Instagram ads and show them to people who have visited us. Both use cookies, so we ask for your consent when you first visit, and you can change your choice at any time.
If we add other tracking tools, we will update this notice first. Instagram, WhatsApp and Luma may set their own cookies when you use them. Those are covered by their own privacy policies.
Children
Our events are for people aged 18 and over. We do not knowingly collect information from anyone under 18. If you think a child has given us information, tell us and we will delete it.
Changes to this notice
We will update this notice if we change how we use your information, and the date at the top will change. If we begin collecting a new kind of information, we will tell you directly.
